Plaud Team content is private until shared. You can invite teammates to view specific files using the Share panel. Note that sharing a file is a completely separate action from Admins inviting new members to the overall workspace.
What is sharing in Plaud Team?
Sharing lets you grant view access to one of your files to other Members of your Team workspace. In the current version, sharing is invite-only within the workspace — you select existing Members from the Share panel, and the share stays active until you revoke it or the recipient leaves the workspace.
Note: this file-share invite is a separate concept from the Member invite an Admin sends to add a new person to the workspace. File sharing does not add anyone to the workspace or consume seats.
Before you start
- Both you and the recipient must be Members of the same Team workspace.
- You can only share content you own. You cannot share files belonging to other Members.
- Sharing is available on Plaud App and Plaud Web.
How to share a file?
On Plaud App:
- Open the file and tap the Share icon at the top of the page.
- Search for and select the Team workspace Member(s) you want to share with, then tap Send.
On Plaud Web:
- Open the file and click Share at the top.
- Search for and select the Team workspace Member(s) you want to share with, then click Invite.
The recipient will receive a notification and can view the file within the Team workspace. To stop sharing, open the Share panel and remove their access.
Sharing limits and permissions
- Recipients must be Team workspace Members — You cannot invite external users. Only people who have already joined your Team workspace can be invited.
- All shared content is view-only — Recipients cannot edit, download, or save the content.
- Admins have no elevated sharing access — An Admin can only share files they personally created. Admins cannot share or view content belonging to other Members.
FAQ about sharing in Plaud Team
Can an Admin share or access my files?
No. Admins cannot access or share content that belongs to other Members. Admin governance covers membership, devices, billing, and workspace settings — not Member content.
What happens to shared files if I leave the workspace?
Files you have shared with other Members remain accessible to them even after you leave the workspace. Other Members can continue to view content you shared with them.
If a recipient leaves the workspace, do they keep access to files I shared with them?
No. When a recipient leaves the Team workspace, their share access is automatically revoked. They can no longer view the files you previously shared with them. If they rejoin the workspace later, you would need to re-share the files — prior shares are not restored.
Can I share content that another Member created?
No. You can only share content you own. If you need access to a teammate's file, ask them to invite you directly.
