Symptoms
- You are unable to locate a file, recording, or note that you previously accessed within your Plaud Team workspace.
- A file you expected to find in the Team environment is no longer visible to you.
- Certain content might appear to have vanished after a Member departed from the workspace.
Steps

Confirm you are in the right workspace
Make sure the Team workspace is your active workspace — not your Personal workspace. Click your workspace name in the top-left of the Plaud Web sidebar (or tap your profile icon in the top-right corner of the Plaud App) to check. Content does not carry over between workspaces.

Check your Personal workspace
If you created the file before joining the Team workspace, it may still be in your Personal workspace. Switch to it from the workspace menu to check.

Check different folders or use search
The file may be in a folder different from where you are looking. Use the search bar with the file name, recording date, or content keywords to locate it across folders in the workspace.

Verify the file was created in the correct workspace
Check that the file was created while the Team workspace was your active workspace, and your Plaud device was bound to this workspace at the time of recording. Files created or recorded under the Personal workspace stay there and cannot be moved automatically.

Check Trash / Recently Deleted
The file may have been deleted by accident. On Plaud App or Plaud Web, open the Trash (or Recently Deleted) folder and check whether the file is there. If found, restore it back to its original location.

Consider departed Members
When a Member leaves or is removed from the workspace, the recordings, transcripts, and notes they uploaded are removed from the Team workspace and can no longer be accessed by anyone. Only files the departed Member previously shared with you via an invite link remain accessible to you. If you didn't receive a prior share invite for the file, it is no longer reachable through Plaud — and not even an Admin can recover it.
If the issue persists
If none of the steps above help you find your file and you suspect a system error, please submit a request to our support team. Include the following information:
- Your workspace name or ID
- The approximate date the file was last seen
- The Space it was in (if known)
- A description of the file (name, type, content)
- The device SN (serial number) of the device that recorded the file, if applicable
