Team files is a shared file space inside a Team workspace where Members contribute their own recordings so the whole team can view and export them in one place.
What is Team files?
Team files is a shared storage area that exists only inside a Team workspace. It works like a shared drive for your team: any Member can contribute a recording from their own private area into Team files, and everyone in the Team workspace can then view and export it.
Team files is meant for teams that want a single, central place to keep recordings that matter to the whole group, such as meeting notes, project interviews, or shared references. A Personal workspace does not have Team files.
Before you start
Keep the following in mind before you contribute a file:
- You need a Team workspace. Team files does not appear in a Personal workspace.
- Every recording first lands in your private area under All files by default. It moves to Team files only after you contribute it.
- You can contribute files only on Plaud Web for now.
- Contributing a file transfers the whole file as a single unit. The audio, transcript, notes, and mind map move together.
- You can contribute only one file at a time. Batch transfer is not supported.
- Contributing is permanent. Once a file is in Team files, it cannot be edited, renamed, or moved back to your private area. Read the confirmation prompt carefully before you continue. However, you can export a file from Team files and re-upload it for your personal use.
How to contribute a file to Team files?
Contribution is available only on Plaud Web for now.
- Open your private area under All files in the Team workspace on Plaud Web.
- Find the recording you want to contribute.
- Select Transfer to team files.
- Read the confirmation prompt. It reminds you that the whole file moves together, that the file leaves your Personal workspace, and that the transfer cannot be undone.
- Confirm to complete the contribution. The file now appears in Team files for everyone in the Team workspace.
What you can do with files in Team files
- View any file. Every Member of the Team workspace can open and read the files in Team files.
- Export any file. You can export the audio, transcript, and notes, the same way you export files in your Personal workspace.
- No editing or renaming. Files in Team files are read-only for now. You cannot edit, rename, re-transcribe, or re-summarize a file after it is contributed.
- No sharing controls. Team files does not offer per-file sharing. Any Member in the Team workspace can see every file.
- Admin can delete. Only an Admin can delete a file from Team files. Deletion is permanent, and there is no way to restore a deleted file.
Transcription and summarization in Team files
Team files does not run transcription or summarization. Whatever a file already contains when you contribute it is what appears in Team files.
- If the recording already has a transcript and summary, both move with the file.
- If the recording has no transcript or summary, only the raw audio appears in Team files, and you cannot generate them there.
To add a transcript or summary to a file that already lives in Team files, export the audio to your device, transcribe and summarize it in your private area under All files, then contribute the updated file again.
How to keep a personal backup
Contributing a file removes it from your Personal workspace, so export a copy if you want one.
- Contribute the file to Team files.
- Open the file in Team files and export the audio, transcript, and notes to your device.
- If you want a copy back in your private area under All files, import the exported audio file. Note that importing brings back the audio only; the transcript and summary need to be generated again.
FAQ about Team files
Can I undo contributing a file?
No. Contributing is permanent. Once a file is in Team files, you cannot move it back to your private area, and you cannot edit or rename it. However, you can export the file and re-upload it for your personal use.
Can I edit or rename a file after contributing it?
No. Files in Team files are read-only for everyone for now. The only change allowed is deletion, and only an Admin can delete a file.
Can I transcribe or summarize a file inside Team files?
No. Team files does not run transcription or summarization. If a file has no transcript or summary when you contribute it, only the raw audio appears. To add them, export the file, process it in your private area, then contribute it again.
Who can see the files in Team files?
Every Member of the Team workspace can view and export every file in Team files. There are no per-file permissions.
If an Admin deletes a file, do I see the change right away?
Not always. After an Admin deletes a file, you may need to refresh the page before the change appears on your side.
Can I contribute multiple files to Team files at once?
No. You can contribute only one file at a time. To move several recordings, repeat the transfer for each file.
