As a Member of a Plaud Team workspace, you can bind your Plaud device to the Team workspace through the Plaud App. Once bound, recordings sync to the bound workspace — this is determined by the bound workspace, not whichever workspace you have open in the app UI.
How do I bind my device to the Team workspace?
Device binding is only supported on the Plaud App. Before binding, make sure the Team workspace is set as your active workspace in the app — this ensures the device is registered under the correct workspace.

After binding, your recordings sync to the Team workspace. Your device is visible to your Admin in the workspace device list, but your audio content and transcripts remain private to you.
How do I switch my device between workspaces?
Your Plaud device stores recordings in the workspace it is currently bound to — not based on which workspace is shown in the app UI. Switching the active workspace in the Plaud App changes your view, but does not change where the device records to.
To move your device from one workspace to another (e.g., from Team to Personal), you must unbind and re-bind:
- Open the Plaud App and go to device settings.
- Unbind Device from the current workspace.
- Switch your active workspace to the target workspace in the Plaud App.
- Bind your device under the new workspace.
Recordings made after re-binding will be stored in the newly bound workspace.
Recordings made under one workspace cannot be moved to another workspace after the fact without manual exporting. Make sure your device is bound to the correct workspace before recording.
What happens to my device if the subscription expires?
If the Team subscription expires and the workspace enters read-only mode:
- Your device binding to the Team workspace is not automatically removed.
- Existing recordings in the Team workspace remain viewable in read-only mode.
- New recordings can still sync to the Team workspace, but transcription and AI processing are paused while in read-only mode — audio recorded during this period stays as raw files until the workspace is restored.
- To have new recordings transcribed during this period, switch your device's bound workspace to your Personal workspace before recording — see How do I switch my device between workspaces? above for the unbind / re-bind steps.
What happens to my device if I leave the workspace?
If you leave or are removed from the Team workspace:
- Your device's binding to the Team workspace is automatically removed, and any unsynced recordings stored on the device are cleared
- Recordings, transcripts, and notes you uploaded to the Team workspace are removed from the workspace and are no longer accessible to you or other Members
- To keep using your device, re-bind it to your Personal workspace via the Plaud App — switch to your Personal workspace in the App and connect your Plaud device to sync. Recordings made after re-binding will sync to your Personal workspace.
FAQ about Member device management
Why didn't my new recording appear in the Team workspace even though I have the Team workspace open?
The device syncs to the bound workspace, not the UI-active workspace. Check your device binding in the Plaud App — if it's still bound to your Personal workspace, re-bind it to the Team workspace before your next sync.
Can I bind the same device to both my Personal and Team workspaces?
No. A device can only be bound to one workspace at a time. To move it, unbind from the current workspace and re-bind to the target workspace in the Plaud App.
Can the Admin see the recordings on my bound device?
No. Admins see device-level metadata (model, bound Member, last sync) in Workspace management, but not your audio content or transcripts — those follow the same content privacy rules as your other Team workspace files.
Can I use Plaud Web to bind my device?
No. Device binding is supported only on the Plaud App. Plaud Web can view synced recordings but cannot perform the binding operation itself.
