A seat is the unit that determines how many people can be part of a Plaud Team workspace. Each person, whether Admin or Member, occupies one seat.
How do seats work?
Plaud Team uses a seat-based billing model:
- Each workspace Member uses 1 seat and gets the full benefits of the Plaud Unlimited Plan
- The minimum purchase is 2 seats
- You can choose between monthly or annual billing. See Before you buy: Plaud Team pricing and purchase FAQ for current pricing.
- Plaud Team uses a single seat type — there are no tiered seat categories
Who manages seats?
Seats are managed by Admins through Settings → Workspace management → Billing & plan on Plaud Web. Admins can:
- Purchase seats when setting up a Plaud Team workspace
- Add more seats when the team grows
- Reduce seats when fewer people need access
- View seat usage and billing details in Workspace management
How do I add or remove seats?
Adding seats: Admins can add seats at any time. Additional seats are charged immediately at a prorated price for the remaining billing period, and the new seats become available right away.
Removing seats: Admins can reduce the number of seats, with two limitations:
- The seat count cannot go below 2
- If all seats are currently occupied, you must remove Members first before reducing seats
Seat reductions take effect at the start of the next billing cycle, not immediately. Pending reductions are shown in the billing management page and can be cancelled before they go live.
How are seats tied to Members?
When an admin invites a Member, that Member occupies one seat — regardless of whether the invitation has been accepted yet. When a Member is removed from the workspace, that seat becomes available for reuse. However, billing and seat count are managed separately — removing a Member does not always change the bill immediately.
FAQ about seats
When does an invited Member start using a seat?
As soon as the Admin sends the invitation. The Member occupies a seat regardless of whether the invitation has been accepted yet. The seat becomes available again only when the Member is removed from the workspace.
Why is the minimum 2 seats?
A Plaud Team workspace is designed for collaboration between at least two people. The 2-seat minimum ensures the workspace is a true team environment rather than a duplicate of a personal workspace.
Does removing a Member automatically reduce my bill?
No. Removing a Member frees that seat for a future Member, but does not reduce your seat count or your bill. To lower your charges, you must also reduce the seat count in Settings → Workspace management → Billing & plan → Manage Seats.
Can I reduce seats below the number of active Members?
No. You must remove the Members you no longer need first, then reduce the seat count. The system will not let you reduce below the current active Member count or below the 2-seat minimum.
When do seat changes take effect?
Adding seats is immediate — charged prorated for the remaining billing period, with new seats usable right away. Reducing seats takes effect at the start of the next billing cycle; pending reductions appear as "scheduled to take effect" and can be cancelled before they go live.
