Symptoms
- You attempt to lower your seat count in Workspace management but the action is blocked or grayed out
- An error message appears when trying to reduce seats
Steps

Check your current Member count
Sign in to Plaud Web and go to Settings → Workspace management → Members & roles. Count all Members in the workspace, including those with pending invitations — they all occupy seats. Your seat count cannot be reduced below the number of currently invited Members.

Free up seats first (if needed)
If you want fewer seats than your current Member count, you need to free up seats before reducing. You have two options:
- Cancel a pending invitation — if there's an outstanding invite that hasn't been accepted, cancel it from Pending Invitations. This frees the seat without affecting any active Members.

Remove an active Member — go to the Member's row → ⋯ Menu → Remove Member. Use this only when you actually want the Member out of the workspace.

Verify the minimum seat threshold
The minimum seat count for a Plaud Team workspace is 2. You cannot reduce below this number regardless of how many Members are active.

Submit the seat reduction
Once active Members are fewer than your intended seat count, return to Settings → Workspace management → Billing & plan → Manage Seats on Plaud Web and enter the new number. For full seat management procedures, see How to add or remove seats in Plaud Team.

Understand timing for annual plans
If you are on an annual plan, the new lower seat count will take effect at your next renewal date, not immediately. The pending reduction will appear as "scheduled to take effect" in the billing management page and can be cancelled before it goes live.
If the issue persists
If you have removed Members and still cannot reduce seats, please submit a request to our support team. Include the following information:
- Your workspace name or ID
- The number of current active Members
- The target seat count you are trying to set
- A screenshot of the error message (if any)
