A Plaud Team workspace moves through several stages over its lifetime, including Active, Grace period, Read-only, and Re-subscribed. Understanding these stages helps Admins manage payment failures, cancellations, and offboarding without losing team content.
What are the workspace lifecycle stages?

What happens when a subscription expires?
When a renewal payment fails (e.g., expired card), the workspace follows this timeline:
- Day 0 — Payment fails. The workspace enters a 7-day grace period and continues to function normally while payment retries run in the background.
- Day 7 — Unpaid / Suspended. The grace period ends without a successful payment. The workspace becomes read-only while Stripe makes a final retry attempt.

Day 14 — Expired. The subscription has fully expired. Member benefits are deactivated (downgrade to User identity); the workspace remains read-only — existing content is preserved but no new actions can be taken.
What is read-only mode?
When a workspace enters read-only mode:
- Existing content (recordings, transcriptions, notes) is preserved and viewable
- No new recordings, transcriptions, or edits can be made
- Members cannot be invited or managed
- Device syncing is disabled
- Members' Personal workspaces and individual Plaud subscriptions are unaffected — only the Team workspace enters read-only
How do I re-subscribe after read-only mode?
Even after entering read-only mode, Admins can re-subscribe to restore the workspace. Once payment is successful, full workspace benefits are restored and access is reactivated immediately.
How do I cancel my subscription?
Admins can cancel the Plaud Team subscription at any time from the Workspace management on Plaud Web. After cancellation:
- The current subscription remains active until the end of the current billing cycle
- No further renewal charges will occur
- After the billing cycle ends, the workspace enters read-only mode
How do I offboard Members?
When a team Member leaves the organization, Admins should:
- Remove the Member from the workspace via Settings → Workspace management → Members & roles on Plaud Web
- Reassign the seat — the freed seat can be reassigned to a new Member or reduced from the subscription
FAQ about workspace lifecycle
Is my team's content lost when the workspace enters read-only mode?
No. Existing recordings, transcripts, and notes are preserved and remain viewable. Only new actions (new recordings, edits, Member management, device syncing) are blocked until the subscription is restored.
If I cancel my subscription, will I be refunded for the remaining billing cycle?
No. When you cancel, the subscription stays active through the end of the current billing cycle — you keep full access during that time and no further charges occur. Refunds for the current cycle are not issued automatically; contact support if you believe your case qualifies.
Can I permanently delete my Team workspace?
No. Plaud Team does not currently support permanently deleting a workspace. To stop being charged, cancel the subscription — after the current billing cycle ends, the workspace becomes read-only and content remains accessible to existing Members.
