In Plaud Team, Admins have visibility into all Plaud devices synced under the Team workspace. The Devices section of the Workspace management (Plaud Web only) provides a centralized view of team hardware, making it easier to track device access and binding across the organization.
How do I view devices in Workspace management?
You can view all devices from the Workspace management on Plaud Web:
- Sign in to Plaud Web and switch to your Team workspace.
- Go to Settings → Workspace management → Devices.
The device list shows all Plaud devices that have been synced by Members under the Team workspace, including device model, the Member it is associated with, and sync status.
When does a device appear in Workspace management?
A Plaud device appears in Workspace management once a Member has bound it to the Team workspace through the Plaud App. Once bound, the device shows in the device list regardless of which workspace the Member is currently viewing in the app.
How does device binding work?
Device binding is the link between a Plaud device and a workspace, and it determines exactly where the device's recordings will sync. When a Member syncs their Plaud device under the Team workspace, the device becomes bound to that environment. This means:
- Recording activity from the device is logged under the Team workspace
- The device appears in the Workspace management device list
- Admins can see the device's association and status
What can't Admins do with devices?
- Admins cannot remotely control, wipe, or disable a Member's Plaud device
- Admins cannot access the audio recordings stored on a Member's device
- Device settings (such as recording mode or language) remain under the Member's control
FAQ about device management
Can a single Plaud device be bound to both my Personal and Team workspaces?
No. A device can only be bound to one workspace at a time. To move a device to a different workspace, unbind it from the current workspace first in the Plaud App, then bind it to the target workspace.
Where are recordings stored — in the Member's Personal workspace or the Team workspace?
Recordings sync to the workspace the device is currently bound to, not the UI-active workspace at playback time. If the device is bound to the Team workspace, new recordings land there.
What happens to a device's recordings if the subscription expires?
Recordings already synced to the Team workspace stay in the workspace (viewable in read-only mode). The device's binding to the Team workspace also stays — bindings are not auto-removed. ⚠️ However, new recordings can still sync to the workspace, but transcription and AI processing are paused while in read-only mode; new audio stays as raw files until the workspace is restored. Members who want recordings transcribed during this period can unbind their device from the Team workspace and re-bind it to Personal in the Plaud App before recording.
Can an Admin see which recordings a specific device has produced?
Admins see device-level metadata (model, associated Member, last sync time) in Workspace management, but audio content and transcript access follow the workspace's file-sharing permissions — Admins don't automatically get access to every Member's recordings.
