Plaud Team uses an invite-only model. Members cannot join a workspace on their own — they must be invited by an Admin from Plaud Web. The native Plaud App does not support inviting Members.
How do I invite a Member?
Members are invited from Plaud Web in a desktop browser — this is the only place for ongoing Member management.
💡 One exception during setup: if you create a new Team workspace from a mobile phone, you can open Plaud as a webpage in your mobile browser and invite Members at the end of the setup flow — or tap Skip for now and invite later from Plaud Web. Ongoing Member management is not available from the phone webpage.
On Plaud Web:
- Sign in to Plaud Web and switch to your Team workspace.
- Open Settings → Workspace management → Members & roles, then click Invite Members.
- Enter the person's email address, and send the invitation.
After the invitation is sent, the invitee will receive an email with a Join workspace button.
What happens after someone receives the invitation?
Once the invitation is sent:
- The seat is occupied immediately
- They become an active Member (or Admin, depending on the role assigned) once they have a Plaud account and sign in for the first time after the invitation
- Their content in the Team workspace is private to them by default
- Their Plaud device (if any) can be bound to the Team workspace
FAQ about workspace invitations
Can anyone with the invite link join?
No. Invitations are bound to a specific email address. The recipient must sign in to Plaud with that exact email to access the workspace. Invitation links cannot be forwarded or reused by someone else.
Is there a way to restrict invitations by email domain?
Not currently. Any valid email address can be invited — there is no domain allowlist or blocklist. Admins control all invitations manually and can remove a Member at any time.
Can I invite external partners or clients?
Technically yes — any valid email address can be invited and the invitee occupies one seat. However, the workspace has no external-guest role, so external invitees have the same content visibility as internal Members. For one-off external sharing, consider sharing from your Personal workspace instead.
Can I change a Member's role after they join?
Yes. Role (Admin or Member) is set at invitation time but can be changed later from Settings → Workspace management → Members & roles on Plaud Web. Role changes take effect immediately.
