Symptoms
- The Share panel does not accept the recipient's email address because they have not been added as a Member of your workspace yet
- Consequently, someone outside of your Team workspace is unable to open any files you attempt to share with them
- They encounter an error message or be prompted to sign in
Cause
Plaud Team supports invite-only sharing within the Team workspace. You can only share files with people who are already Members of the same Team workspace. There is no public link option for sharing with people outside the workspace. This is expected behavior, not a configuration issue.
What you can do
- Share with Team workspace Members — In the Share panel (Plaud App or Plaud Web), search for and select a teammate who is already a Member of your workspace, then send the invite. See Sharing content in Plaud Team for the full flow.

If the recipient is outside the workspace, choose one of the following:
- Add them as a Member — ask your Admin to send a Member invite. Once they join the workspace, you can share files with them via the Share panel. Adding a Member consumes one paid seat, so use this option only when the person needs ongoing workspace access.
- Share from your Personal workspace instead — if you have a Personal workspace and the file does not need to stay in Team:
- Export the file from the Team workspace (audio, transcript, or notes).
- Import the exported file into your Personal workspace.
- Share it externally using your Personal workspace's standard sharing feature.
If the issue persists
If the recipient is already a Member of your Team workspace and still can't access the file, submit a request for further investigation. Include:
- The Team workspace name
- The recipient's email and confirmation that they are a Member of your workspace
- A screenshot of the error or sign-in prompt the recipient sees
- The browser and device the recipient is using
