To join a Plaud Team workspace, you need an invitation from an Admin. If you already have a Plaud account, the workspace will appear automatically when you sign in to Plaud App or Plaud Web. If you don't have a Plaud account yet, follow the steps below to create one and join.
Before you start
- You must have received an invitation email from your Admin. Check your spam folder if you can't find it.
- If you can't find the invitation email or accidentally deleted it, ask your Admin to resend it from Settings → Workspace management → Members & roles on Plaud Web.
- Sign in with the same email address that received the invitation — the system verifies the match before adding you to the workspace.
- Joining a Team workspace does not affect your existing Personal workspace, and both remain fully separate.
How do I join on Plaud Web?
Step 1: Open the invitation email
Look for an email from Plaud with the subject: "[Sender name] invited you to join [Workspace Name] on Plaud Team". Click the Join workspace button in the email.
💡 If you don't see the email, check your spam or junk folder.
Step 2: Log in or create an account
You will be directed to the Plaud login page. Click Continue with Google or log in with the email address that received the invitation. If you don't have a Plaud account yet, you will be guided through account creation.
Step 3: Verify your identity
The system will verify that the account you're logging in with matches the email address in the invitation. If they don't match, you will be prompted to use the correct email address.
Step 4: Enter the welcome screen
After logging in, you will see a "Workspaces are separate…" screen. This message simply confirms that your Personal and Team workspaces operate as completely independent environments. Click Open workspace to proceed.
Step 5: Join the workspace
The system will automatically add you to the invited workspace. You will land on the Team workspace main interface.
Step 6: Set up your profile
Go to Settings to set your display name for this workspace. Note that this name applies only to the current Team workspace and will not affect your Personal workspace profile.
How do I join on the Plaud App?
Step 1: Open the invitation email
On your phone, open the Plaud Team invitation email from your Admin.
Step 2: Tap the invitation link
Tap the Join workspace button. The system will prompt you to open the link in the Plaud App.
💡 If you don't have the Plaud App installed, the system will guide you to download it first.
Step 3: Log in or create an account
Open the Plaud App and log in with the same email address that received the invitation. If you don't have an account yet, follow the on-screen steps to create one.
Step 4: Verify your identity
The system will verify that your account email matches the invitation email. If they don't match, you will be prompted to log in with the correct account.
Step 5: Enter the workspace
After verification, you will be taken directly to the Team workspace main interface.
What can I do after joining?
Once you have joined the Team workspace, you can:
- Create and manage your own content within the Team workspace
- Switch between your Personal and Team workspaces at any time on Plaud App or Plaud Web
- Bind your Plaud device to the Team workspace via the Plaud App. After binding, new recordings will sync to this workspace by default

Do I need to rebind my device to the Team workspace if it was previously recording to my Personal account?
Yes, if you want new recordings to land in the Team workspace. Device binding is done on the Plaud App only. After binding, new recordings sync to the bound workspace automatically.
